Cancellation and Refund Policy
Last updated 7 August 2026
Plans change, and we will always try to help. This page explains how to cancel or amend a
confirmed booking, what it costs and how long a refund takes. It should be read alongside our
Terms and Conditions.
How to cancel
- Cancellations are accepted in writing only. Email
info@happytraveller.in from the
address used to make the booking, quoting your booking reference.
- Charges are calculated from the date we receive your written request, not the date you
decide to cancel. A phone call alone does not stop charges accruing.
- We will confirm receipt and send you a statement showing the charges and the refund due.
Cancellation charges
Unless your confirmation says otherwise, the following charges apply to the total package cost,
based on how many days before departure we receive your written cancellation.
| Written notice before departure |
Cancellation charge |
| More than 45 days |
Loss of deposit |
| 45 to 31 days |
25% of the package cost |
| 30 to 16 days |
50% of the package cost |
| 15 to 08 days |
75% of the package cost |
| 07 days or less, or no show |
100% of the package cost |
Peak season departures, festival periods, group tours and fixed departures may carry stricter
terms set by the hotels and operators involved. Where that applies, the specific terms are shown
on your quotation and confirmation, and they take precedence over the table above.
What cannot be refunded
- Air tickets, once issued, are refundable only to the extent the airline permits, and airline
cancellation charges apply in full.
- Visa fees, visa service charges and travel insurance premiums, whether or not the visa is
granted.
- Inner line permits, wildlife fees, park entry fees and similar government charges once
issued or paid.
- Cruise bookings, event tickets and any service booked on a non refundable basis, as noted on
your confirmation.
- Services included in the package but not used during the trip, including unused hotel
nights, meals, transfers and sightseeing.
- Bank charges and payment gateway fees already incurred.
Amendments
- Requests to change travel dates, hotels, room types or the number of travellers must also
reach us in writing.
- We will pass on any charge levied by the hotel, airline or operator, plus any difference in
price for the revised arrangements.
- A change requested close to departure may be treated as a cancellation and rebooking, in
which case the charges in the table above apply.
If we have to cancel
We rarely cancel a confirmed booking, but it can happen for reasons beyond our control such as
natural events, road or pass closures, political disturbance, epidemics or a group departure not
reaching its minimum numbers. In that case we will offer you an alternative date or itinerary,
or a refund of the amount you have paid, less any charges the suppliers have already applied and
cannot recover.
Force majeure
Where a trip is disrupted by events outside anyone's control, we will do our best to recover
what we can from hotels and operators and pass it back to you. We cannot refund amounts that our
suppliers refuse to return, and we are not liable for costs you incur as a result of such
disruption, which is why we recommend travel insurance.
How refunds are paid
- Approved refunds are processed within 7 to 14 working days of the cancellation being
confirmed in writing.
- Refunds are made to the original payment method and to the person who made the payment.
- Refunds involving airlines, cruise lines or overseas operators can take longer, as we can
only release funds once the supplier releases them to us. We will keep you updated.
- GST already paid to the government on a cancelled booking is refunded only to the extent the
rules allow.
